Join the Nerve Center of Private Aviation: Crew Services Representative!
Are you someone who thrives on staying one step ahead, coordinating moving pieces, and ensuring everything runs like clockwork? PlaneSense, Inc.—the company behind one of the largest fleets of Pilatus PC-12 and PC-24 aircraft serving fractional share owners—is looking for a sharp, self-starting Crew Services Representative to join our Flight Operations Center (FOC) in Portsmouth, New Hampshire.
This isn't a desk job where you clock in and out. This is a role for someone who wants to be at the heart of private aviation operations, supporting our flight crews and ensuring every trip runs smoothly from behind the scenes. If you have a knack for logistics, a passion for customer service, and the resilience to handle a fast-paced, highly regulated environment, we want to hear from you.
Your Mission: Keep Our Crews and Aircraft Moving Seamlessly
Think of the Flight Operations Center as the brain of our entire operation. As a Crew Services Representative, you'll maintain constant awareness of your assigned aircraft and crew members, acting as their advocate and liaison across departments and vendors. Your work ensures that our pilots have what they need to focus on what matters most—safe, professional flight operations—while you handle the rest.
Every day brings new challenges, from coordinating crew accommodations and transportation to managing FBO arrangements and reviewing weather, NOTAMs, and TFRs. You'll be the person our crews rely on to have answers, solve problems, and keep everything on track.
What You'll Do Daily?
Your responsibilities will be varied, fast-moving, and essential to our operation. Here's a closer look:
- Maintain vigilant, real-time awareness of your assigned aircraft and crew members throughout their duty periods.
- Manage crew member duty and rest periods, ensuring full compliance with regulations.
- Monitor flight schedules and legalities, keeping operations smooth and within guidelines.
- Advocate for crew members while coordinating closely with Owner Services and Scheduling teams.
- Handle all logistical needs for assigned crews, including accommodations, transportation, and meals.
- Coordinate with FBOs for arrival and departure arrangements, parking, and slots.
- Provide preliminary reviews of weather, NOTAMs, and Temporary Flight Restrictions (TFRs) to support safe operations.
- Manage international travel requirements, including CBP arrangements when needed.
- Step in for additional duties as directed by FOC leadership—flexibility is key here.
Who We're Looking For?
The right person for this role is someone who combines sharp organizational skills with genuine care for the people they support. You don't just check boxes—you anticipate needs and solve problems before they arise.
To succeed in this position, you should bring:
- Remarkable customer service instincts and a genuine desire to help others.
- Exceptional verbal and written communication skills in English.
- A high aptitude for learning new systems, processes, and industry regulations.
- Self-motivation and a drive to contribute meaningfully to the team.
- Personal and professional resilience—you can handle pressure and shifting priorities with grace.
- Flexibility to work assigned shifts, which include early mornings, late nights, weekends, and holidays.
Education and Experience We Value
- High school diploma or equivalent is required.
- At least one year in a service industry role is preferred.
- At least one year in a direct client-facing position is preferred.
- Aviation or travel industry experience is a strong plus.
Computer Skills You'll Need
You should be comfortable with Microsoft Office Suite, Windows operating systems, and internet browsers. We'll train you on our specialized software, but a willingness to learn and adapt quickly is essential.
